Travel grant for students - annoucement for 2014

To contribute to professional recruiting within the NUUG Foundation's interest areas and to strengthen Norway's participation in international forums, a travel grant has been established for students.

This announcement is concerning events in the calendar year 2014. Applications are received at any time and will be processed individually. A maximum of 100,000 Norwegian Kroner is allocated for the year 2014.

Who can apply?

Both Norwegian and foreign students studying at higher education institutions or universities within Norway, as well as Norwegian students in higher education abroad may apply. There are no requirements regarding the subject that the applicant studies, however participation in the conference should be academically relevant to their field, or the applicant should be able to document active participation in relevant programming projects.

It should be noted that masters students in Network and System Administration at Oslo and Akershus University College of Applied Sciences (HiOA)/UiO who would like financial support to participate in a joint trip to the LISA conference are not covered by this grant. However the NUUG Foundation contributes to a separate fund for that trip which is administered by HiOA.

What can one apply for funding for?

One can apply for funding for participation in international conferences or professional meetings within computer science and telecommunications. Commercial conferences with a focus on branded products, arranged by product suppliers are not supported. If you are in doubt about whether participation in a particular conference can be supported, please contact us before completing the application.

The following expenses can be covered unless they are covered by another party: Conference fees, travel expenses, accommodations, depending on receipts and the least expensive mode of travel and accommodations.

Application

Download the application form (the form is in Norwegian language only), fill it out and send it to email post@nuugfoundation.no. To open and edit the application form one can use Open Office or Libre Office. Only completely filled out applications will be accepted and processed. The addition of statements or recommendations from supervisors, teachers and/or project leaders can strengthen the application.

Deadlines

Applications should be submitted as soon as possible after the conference is announced with a complete program and travel plans made, but no earlier than six months before the start of the event. Application should be sent in good time to avoid time pressure in booking tickets etc. We reserve up to 1 month handling time.

Application processing

Applications are decided on by the Board of the NUUG Foundation, who reserve the right to grant or reject applications at its discretion, even if these are applications available within the stipulated quota. The main criteria for awarding the application will be the applicant's expected academic or professional benefit from participation related to studies and/or their own activity in free software projects. To the greatest extent possible, a wide spread of applicants, educational institutions and conferences are sought. If conditions are equal, the applications that have been sent in first will be given priority. A confirmation of an application will be sent as soon as it has been received, and all applicants will receive an answer within one month after the application deadline has expired.

The result of the grant award will be published on the NUUG Foundation's website, RSS-feed and Facebook page with the name, place of study, and conferences for the winning applicants. Applications that were not accepted will only be mentioned in summary form, without names.

Payment

The payment is made only after a report from the conference has been submitted and approved. The grant is paid out after the event based on actual travel expenses. The funding will not be prepaid. Preferably send the report and the invoice together.

Legitimated expenses are covered up to the allotted amount of the support amount which can be the same or lower than stated in the applicant's budget. Please note that meals are not covered, neither as a separate expense with receipts or as part of a subsistence allowance. The one exception is breakfast at a hotel when it is included in the room price. More detailed information about travel expense claims can be found in the procedure.

Disclaimer

The NUUG Foundation assumes no employer role in relation to the grant-recipient. Travel insurance should be signed and is not covered by the grant. It is the recipient's responsibility to document the grant and expenses to tax authorities. (The grant will normally be tax free, but will be reported by the NUUG Foundation as a "tax free travel allowance.")

The report

The requirement to submit a report is based on the desire to disseminate knowledge acquired through participation in the conference and thereby inspire others to go deeper in their field, to learn about special projects, to become acquainted with lecturers, or to participate in other similar events later. For the NUUG Foundation the report is important for evaluating the effect of the grant and for spreading information about the Foundation's work.

Scope and format

The report should be a minimum of one A4 page (approximately 800 words) and not more than 4 pages. It can be delivered as a plain text file, or formatted completely and delivered in HTML or PDF format. In both cases we reserve the right to change the layout to make the content available as best as possible. The report and the travel expenses should not be combined in the same document.

Contents

The bulk of the report should be about the academic or technical content of the conference. It should focus on the part that one is most interested in and there is no need to give a complete picture of everything that happened at the conference. The report should not include copies of the conference program, articles, or excerpts (but feel free to include links to such information.)

The report should include at least one interview with a conference speaker, or with representatives of the host organization. Outside of the academic content, the report can also include something about other aspects of the trip, such as the location, transportation, or social events. The report should end with a conclusion that summarizes how you have benefited from participation, and this should be related to the reasons that you gave in the application.

It is recommended to use images in your report. However, be careful about the copyrights on the images. It is best to make use of your own photos.

Language

The report must be submitted in either Norwegian or English. If other languages are used, include a Norwegian or English translation.

Rights

The NUUG Foundation reserves the rights to publish the report on its website and to include it in electronic or printed publications. In all other repects, the author retains all rights to the text. It is recommended to include a license clause that describes how the text can be used by others, eg. based on a Creative Common license.
